The Project Management and Automation Specialist will play a critical role in streamlining operations across the HR, sales, operations, and service delivery departments. This individual will be responsible for implementing project management tools, standardizing reporting, and ensuring efficient task organization. The goal is to enhance productivity, ensure consistency, and improve overall departmental performance.

Responsibilities

  1. Process Assessment and Improvement:
    • Conduct audits of current workflows, tools, and processes in HR, sales, operations, and service delivery departments.
    • Identify inefficiencies and gaps, and develop strategies to address them.
  2. Implementation of Project Management Tools:
    • Choose and implement project management tools such as Asana, Trello, Jira, or Zoho.
    • Train staff on the effective use of these tools to organize tasks, track progress, and manage projects.
  3. Standardization of Reporting:
    • Develop standardized reporting templates and guidelines for each department.
    • Utilize tools like Google Sheets, Zoho Reports, or other business intelligence software to automate and simplify the reporting process.
  4. Training and Development:
    • Organize regular training sessions and workshops to improve staff proficiency in using organizational tools and software.
    • Provide ongoing support and resources to ensure teams stay updated with best practices.
  5. Centralized Communication:
    • Implement and manage collaboration tools like Slack, Microsoft Teams, or Google Workspace.
    • Create channels or groups specific to projects or departments to keep discussions organized and efficient.
  6. Defining Roles and Responsibilities:
    • Clearly define and communicate the roles and responsibilities of team members within each department.
    • Ensure alignment of individual tasks with overall departmental and company goals.
  7. Regular Reviews and Feedback:
    • Conduct regular reviews and feedback sessions to evaluate progress and address issues promptly.
    • Foster a culture of open communication and continuous improvement.
  8. Goal Setting and Monitoring:
    • Establish clear goals and deadlines for tasks and projects.
    • Use project management tools to set milestones and track progress.
  9. Monitoring and Adjusting Processes:
    • Continuously monitor the effectiveness of implemented changes.
    • Be open to adjustments and improvements based on feedback and performance data.

Qualifications

  • Proven experience (3-4 years) in process improvement, project management, and task organization.
  • Proficiency in project management tools such as Asana, Trello, Jira, Zoho, Google Suite, etc.
  • Strong organizational and multitasking skills.
  • Excellent communication and training abilities.
  • Ability to work independently and collaboratively with cross-functional teams.
  • Detail-oriented with a strategic mindset.
